Rostering

From staffing demand to the published monthly roster – shifts, positions, position plan, pattern, monthly roster, autoplan and closing the month.

Planners find three entries under ADMIN: Manage Shifts, Manage Patterns and Manage Rosters. The pages in this chapter follow the order in which you set up a unit and plan a month.

  1. 01 The path to the rosterWhich steps are done once, which each season and which every month – an overview with links.
  2. 02 ShiftsShifts are the building blocks of every roster – working shifts, absences, spare time and placeholders. Every shift belongs to a unit.
  3. 03 Working positionsWorking positions are everything that must be staffed in the operations room – sectors, supervisor, standby – plus briefing and break. They are the rows of the position plan and the columns of the OPS schedule.
  4. 04 Position planThe position plan defines which position must be staffed at what time – per weekday, in the unit's grid, valid for one season.
  5. 05 Optimal patternFrom the position plan, Rostify calculates the shifts that cover the demand for each weekday – with breaks, briefing and supervisor rules. The result compares optimal shift times with your existing shifts and can be applied directly to the pattern.
  6. 06 Shift patternsThe shift pattern defines which shifts are needed on each weekday. It is the template for the monthly roster, the autoplan, the daily demand and the supervisor board.
  7. 07 The monthly rosterIn the grid you plan the month by hand, check the daily demand against the pattern and keep an eye on hours and conflicts.
  8. 08 Automatic planningThe autoplan fills a month's pattern with suitable people – keeping to all mandatory rules and staying as close as possible to requests, target hours and usual patterns. Nothing is saved until you apply the preview.
  9. 09 Rule checks in the rosterRostify checks every entry immediately – in the monthly roster, for requests, exchanges and replacements. Conflicts are marked before the roster is published.
  10. 10 Publishing and archivingPublishing makes the roster visible to everyone and turns it into the binding target (SOLL) roster. After the month you close it by archiving.
  11. 11 Deciding leave requestsApprove, decline or cancel requests for leave and other planned absences. Rostify enters approved days in the roster itself and notifies the person.
  12. 12 ChecklistsThree lists show what has changed since publication – shift exchanges, sick reports, overtime and time clock. You tick off what has been dealt with, for example sent to payroll.
  13. 13 Resource planningResource planning (CAP) calculates, for each day of the coming months, how many heads remain after the pattern, assignments in other units and absences – the basis for leave decisions and medium-term staff planning.
  14. 14 Prints and exportsPrint the roster as a PDF, output the target roster and the leave overview, settle time accounts and pass on the data as CSV or an Excel spreadsheet.
