Publishing and archiving
Publishing makes the roster visible to everyone and turns it into the binding target (SOLL) roster. After the month you close it by archiving.

The super admin sets the deadline for each unit. If it falls before the 15th, it applies to the next month, otherwise to the month after next.
Publishing
Publish is available for the current month and the two following months.
- Print the
ISTroster as a check. - Click
Publishand confirm the prompt. - The status changes to Published.
For every person whose rosters are published in all OPS units, publishing does the following:
- Rostify saves the current state as the target roster (SOLL). It remains unchanged even if the roster is changed later, and can be printed with
SOLL. - Target and actual hours are recorded.
- All placeholders of the person in the month are deleted.
If a person is also rostered in a second OPS unit, this happens only once that unit has published as well. Until then, their roster in My Roster remains locked.
Publishing does not trigger a notification. Staff see the roster on the dashboard, in My Roster and in the app.
After publishing
- You can continue to change the roster until it is archived. The rest period limit drops to 8 hours and request markings disappear.
AI,Clear AIandPublishare no longer available.- Staff are not notified of your later changes. Inform the people affected yourself.
- Publishing cannot be undone.
Archiving
In the following month, the previous month shows the Archive button instead of Publish.
- Go through the previous month's checklists.
- Select the previous month and click
Archive. Confirm the prompt.
For each person, Rostify records actual hours, public holiday hours, overtime, leave days and time clock differences, and deducts agreed overtime compensation. The grid is then locked, and T/A prints the time accounts. Staff no longer see an archived previous month in My Roster.
Archiving cannot be undone either.
Support units
In support units the process is shorter:
- The toolbar has only
Roster,Print,CSV,XLSandRepeat. - Instead of publishing and archiving there is
Finish. This deletes all placeholders of the unit in the month, and the status changes to Finished. The OPS planners see this in the Support ring. - Autoplan, leave requests, checklists and resource planning are not available here.
- Instead of the hours columns, the grid shows DZ (duty shifts) and FZ (spare-time shifts).
- The daily demand also shows categories such as AT (ATCO) or OF (Office).
- Shifts of other units are locked; their tooltip names only the unit.
